Game Changers AI — Privacy Policy

1. Introduction

Game Changers AI builds and operates AI assistants. These include a sales coaching platform that helps sales representatives prepare for meetings, track activity and engage with prospects, and assistants published inside ChatGPT that answer questions from material a company has chosen to make available to them. Different assistants collect different things. Where a section below applies to only one of them, it says so.

2. Privacy and Data Use

Your use of the Platform is also governed by our Privacy Policy, incorporated herein by reference. We collect personal data including name, email, phone, business information, payment information, location, device data, behavioral and usage data, and all content you submit.

We use this data to provide, improve, and market the Platform. We do not sell your personally identifiable contact information to third parties without your explicit consent.

We may use your data for targeted advertising, personalization, business analytics, AI development, and Platform improvement, and may share anonymized or aggregated data with business partners, investors, and third parties without restriction.

This does not apply to material we handle on behalf of a client company. Where a company gives one of our assistants access to its own documents, records or reports, that material is used only to answer questions for people that company has authorised. It is never used for advertising or personalization, never used to train or fine-tune any AI model, and never shared with business partners, investors or any third party, in aggregate or otherwise. It is not ours and we do not treat it as ours.

3. Information We Collect

We collect the following types of information:

• Account information — your name and email address
• Google Calendar data — read-only access to fetch your upcoming meetings
• CRM integration data — your GoHighLevel (GHL) API key, stored encrypted
• SMS phone number — used to deliver coaching messages
• Usage and activity data — interactions with the platform to improve your experience

Assistants inside ChatGPT

When you use one of our assistants inside ChatGPT, we collect two things. Your email address — you give it to us when you sign in, and it is how the assistant knows which company you belong to and what you are allowed to see. And a record of your requests — each time the assistant fetches something, we record who asked, when, and what was returned. We record the request, not the conversation. Your conversation with the assistant is handled by OpenAI inside ChatGPT, under their own privacy policy. We do not control it and we cannot see it.

4. How We Use Your Information

We use your information to:

• Deliver meeting preparation briefs
• Conduct LinkedIn prospect research
• Send SMS coaching messages
• Provide activity tracking and reporting

5. Google API Data

Game Changers AI uses the Google Calendar API in read-only mode solely to fetch your upcoming calendar events for meeting preparation. We do not modify, delete, or store your calendar data beyond what is necessary to generate meeting briefs. Our use of Google API data complies with the Google API Services User Data Policy, including the Limited Use requirements.

Google Calendar data is never used for AI model training or fine-tuning. It is used solely to generate your meeting preparation briefs and is not retained beyond what is necessary for that purpose. Game Changers AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Data Sharing

We share data with the following service providers as necessary to operate the service: Amazon Web Services (infrastructure and email delivery via SES), Anthropic (AI generation), OpenAI (embeddings for knowledge retrieval), Notion (client content storage), Stripe (payment processing), Exa (prospect research), Tavily (web search). All providers are contractually bound to protect your data.

7. Data Retention

Your data is retained for as long as your account is active. Upon account deletion, your data is permanently deleted within 30 days.

8. Security

We use TLS encryption for all data in transit. Data is stored on infrastructure that uses disk-level encryption at rest (AWS RDS). Access to production systems is restricted to authorized personnel.
